Hotel Reservation Policy

The rooms and suites have been designed to meet the needs of both business and leisure travelers. All the guest rooms are equipped with a work area and other modern amenities to ensure we provide guests with a satisfying stay.

Booking Arrangements

  • Booking requests are done thru telephone, e-mail, direct reservation from our website or letter sent to our Subic office address.Please send to ______________
  • Accommodations will only be held until the stated Option Date by the Marketing Executive in the invoice. If no downpayment is received, Subic Pearl Inn. may release the rooms to other guests. Extension of room reservation is dependent on availability.
  • Please pay on or before the option date. Subic Pearl Inn. will not be responsible for reminding you. Lapsed option will mean automatic cancellation of booking unless prior notice is given.
  • A deposit equivalent to 50% of the total amount on tour package shall be required to confirm all bookings and block the necessary rooms.
  • Option dates on balance are given by the Marketing Executive. Option dates cannot be more than 2 weeks prior to guest arrival on lean season, 4 weeks prior on regular season (including long weekends and special holidays), and 8 weeks on peak season (Christmas/New Year, Holy Week). Extension of option is subject to availability.
  • Assignment of hotel rooms shall be at the discretion of the Resort. However, if requests are received with sufficient advance notice, all efforts shall be made to honor such request.
  • Rates are quoted in Philippine Peso currency. All room rates quoted are subject to adjustment without prior notice in line with any changes in government policy, which may affect the official rate of exchange and/or tax levels.

Payment and Billing Procedure

  • Full payment shall be made to our front desk, by bank-to-bank cash deposit or online banking payment prior to the guest’s arrival at the resort.
  • Payment may be in the form of Philippine Peso or US Dollars.
  • Online payment only accepts Philippine Peso. Conversion to other currencies is dependent on your bank. Online payment may only be accepted at a maximum of 30 days prior to guest’s Checkin.
  • If payment is made in currency other than the currency contracted, the Resort reserves the right to convert the payment at such foreign exchange rate quoted by its account bank and the Guest/Client shall indemnify the Resort against any loss arising from the transaction.
  • Furthermore, exchange rate to be used which is subject to change without prior notice will be based on the prevailing Airline rate upon date of booking.
  • For last minute bookings where guest arrival is within the next 7 days, only Cash or Credit Card payments in our Office will be accepted.

  • For Telegraphic, wire or bank transfer, we will only acknowledge total payment received after the bank charges. Bank charges incidental to the transfer shall be borne by the Guest. Copy of remittance and/or deposit slip to be furnished to the Subic Pearl Inn to include guest name/s, duration of stay and confirmation number. Please note that sometimes it takes a while for our bank to receive and reflect the payment you made even though it has been deducted from your account already.
  • A Confirmation Voucher and the Travel Information Sheet will be issued upon receipt of full payment within 24-48 hours(excluding Sundays and Holidays). Client will be responsible to for checking that all information on the Confirmation Voucher is correct. The details on the Confirmation Voucher will be followed for all arrangements.

Rebooking

  • Rebooking should be done at least three (3) days prior to checking in, otherwise a 10% rebooking fee of the whole package shall be charged. Rebooking can only be done once (1) upon final confirmation.We will only allow rebooking thru a formal request sent via email to subicpearlinn@yahoo.com. Please put on subject: REBOOKING REQUEST.We do not acknowledge request sent thru sms or phone.
  • The package may be rebooked within 1 year from the expected date of arrival, but the rebooking will be subject to penalties/cancellation and additional charges such as, but not limited to hotel/resort cancellation charges and price increase of rooms and other services.
  • Rebooking does not apply for partial cancellations or No Show. Rebooking only applies for entire group or booking cancellation provided that the said booking is not yet subject to 100% cancellation charge.
  • Rebooking is subject to the availability of the Subic Pearl Inn

Check-In

  • Regular Check-In Time is 2 pm.  You can check-in earlier than 2 pm.  Just please inform us ahead of time that you want early check-in.  Please be advised that checking in before 12  pm has an extra night charge.
  • Room inspections or visits are allowed before actual check-in.  We especially recommend this if you want to be certain your room has a good signal for your mobile phone or if you have a personal portable Wi-Fi system from our local telecom companies.
  • No Deposit Reservations (NDRs) are usually only held until 12 pm.  If your check-in time is after 12 pm, please inform us.

Check-Out

  • Regular Check-Out time is 12 (noon).
  • Check-Out time can be extended to 1 pm without charge subject to availability. Check-Out after 1 pm has a 50% late check-out charge. Check-Out after 5 pm has an extra night charge.
  • Please  be advised that our staff has to check your room to make certain everything is in order before your check-out is finalized.  This usually takes only a few minutes but may be a bit longer, especially if many guests are checking out at the same time.

Cancellation & No show

  • Cancellation and Reduction of Confirmed Rooms must be done in writing and duly acknowledge by our office no less than 14 days during lean season and 31 days during regular season and 45 days during peak season prior to the guest’s arrival. Otherwise, bookings will be subjected to Cancellation Charges as specified below.
  • Cancellation made after a booking has been finalized and paid (in partial or full) will be subject to the following:
  • In case of no-show, the full amount of the total package shall be collected. Full payment and no refund for shortened stay.Transaction charges for the refunds will not be covered by Subic Pearl Inn.

Children

Children under 12 stay for free if using existing bedding. Children aged 13 or over must use an extra bed. Extra beds are dependent on the room you choose.

Insurance, safety Clauses and Waiver.

  • To ensure peace of mind while on vacation, we strongly recommend purchasing travel insurance. Subic Pearl Inn will not be responsible for any injuries, accidents, or death.
  • Subic Pearl Inn will not be responsible for expenses incurred due to airline, ferry, or bus delays or cancellation, lost luggage, health issues, or other unwanted and unforeseen scenarios.
  • Claiming against the insurance company is the responsibility of the guest. Subic Pearl Inn will only assist in providing all the necessary paperwork/documentation.
  • During shore / land transfers, excursions or any activities, Subic Pearl Inn nor any of its director, officers and/or employees shall not be held liable in any event whatsoever for injury or loss of life of its guest or third person arising from or in connection with any activities.

 

Confidentiality

All information contained with this Agreement is private and confidential and may not be disclosed to any third party for any reason or purpose. This agreement is subject to the laws of the Philippines and the parties hereto agree to submit to the non-exclusive jurisdiction of the Courts of the Philippines.

Other Terms and Conditions

  • Upon check-in, aincidental deposit of Php 1,000 per person is required (FIT’s), which will be deducted from incidental expenses that will be incurred by the guest/s.
  • Standard check-in time is 12:00 PM and the standard check-out time is 11:00 AM. Early check-in or late check-out may be requested, but is not guaranteed. Approval of this request is dependent on the room availability at the hotel/resort.
  • Non-registered guests upon check-in will not be allowed in the room at any given time for the duration of the in-house guest’s stay at Subic Pearl Inn.
  • The Hotel reserves the right to require adults to show proof that their minor companion/s are 12 years old and below to avail of Children’s Rate – Special Rate for Children 3 – 12 years old sharing rooms with two (2) adults.
  • Bringing in of foods and drinks is strictly prohibited.
  • Room numbers will be advised upon arrival.
  • The Hotel requires a valid Tour/Hotel Voucher to be submitted prior to or upon guest/s arrival.
  • Minors are not allowed to stay in a room with another adult other than the minor’s parentsorrelatives.
  • The guest may opt to re-arrange the itinerary (i.e. dates of the various activities) on-site provided that Subic Pearl Inn is given ample time to prepare. Re-arranging of the itinerary is subject to approval of Subic Pearl Inn and may be subject to penalties.
